This policy explains how Coastal Workflow LLC collects, uses, and protects information submitted through this website, calendar booking, email, and related business communications, as well as how we handle client and project data when delivering services.
Information you provide
When you submit the contact form, book a call, email Coastal Workflow, or otherwise reach out, you may provide information such as your name, business name, email address, phone number, website, service interests, and details about the workflow, reporting, or operational problem you want to discuss.
How that information is used
Coastal Workflow uses this information to respond to inquiries, prepare for intro calls, recommend next steps, provide requested services, maintain business records, and improve the website and client experience.
Calendar booking and third-party tools
If you book a call through the calendar link, your booking details are handled by Google Calendar / Google Workspace. If you submit the contact form, your submission is processed by the form service configured for this website. These providers process information according to their own privacy policies and security practices.
Analytics and website improvement
Coastal Workflow may use Google Analytics or similar website analytics tools to understand site traffic, page performance, and which pages or calls to action are useful to visitors. Analytics may include pages visited, approximate location, device/browser information, referral source, and interactions such as booking-link clicks, email clicks, phone-link clicks, demo opens, and successful contact-form submissions. Analytics information is used to improve the website and marketing. It is not sold.
Sensitive business information
Please do not send confidential customer data, sensitive financial records, passwords, API keys, or regulated information through the public website form. If a project requires sensitive documents or data access, Coastal Workflow will discuss an appropriate intake and security process first.
Client and project data
When Coastal Workflow delivers services, we may access, receive, or process data belonging to a client and their customers or employees — for example, financial records, documents, leads, or information inside the systems we help automate. For that data we generally act on the client’s behalf and under their direction (as a processor or service provider), and how we handle it is governed by the applicable client or data-processing agreement. We use client and project data only to provide the agreed services, and we do not sell it or use it to train public, third-party AI models without the client’s explicit consent.
How we protect information
Coastal Workflow maintains reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the information — such as access controls, encryption where appropriate, and, for sensitive workflows, private or local/hybrid AI architectures designed to limit what data is sent to third-party tools. No system is perfectly secure, but security measures for a given engagement can be specified in the client agreement.
Service providers and sub-processors
To operate the website and deliver services, Coastal Workflow relies on third-party providers (for example, hosting, calendar booking, the contact-form service, analytics, and — for client projects — specific cloud or AI tools). These providers process information on our or the client’s behalf, under their own terms and security practices. Where a project involves sensitive or regulated data, we confirm that any sub-processor in that workflow is appropriate for it, and we identify sub-processors in the applicable client agreement.
Information sharing
Coastal Workflow does not sell personal information. Information may be shared only when needed to operate the website, deliver services, comply with legal obligations, protect rights or safety, or with your direction or consent.
Data breach notification
If a security breach affecting personal information occurs, Coastal Workflow will notify affected individuals and any relevant client or data owner as required by applicable law, without unreasonable delay. This includes South Carolina’s breach-notification law (S.C. Code § 39-1-90) where it applies, along with any notice obligations set out in a client or data-processing agreement.
Retention
Inquiry, booking, email, and project information may be retained as long as needed for business, legal, accounting, service-delivery, and client-support purposes, or as set out in a client agreement. On request or at the end of an engagement, project data can be returned or deleted, subject to reasonable legal and business recordkeeping requirements.
